Office Coordinator - Position now filled

Job description

Lady McAdden is an established charity and after its successful relocation to Leigh on Sea, we are now seeking an enthusiastic and capable person to join our team. The job description is below. It is anticipated that the main role will be Monday to Thursday 9.30 to 4pm. However, later in the year 1 Saturday morning a month and occasional Friday cover will be required, meaning your regular hours will change to accommodate this.

We are a ‘hands on’ small team and work together to make sure our patients, volunteers and fundraisers are looked after, this means being proactive and ready to do whatever needed at the time!

The office coordinator will undertake and assist with the day to day organisation of the charity activities. This will include helping to manage our premises at Elmsleigh Drive and Tilbury shop, general admin duties, booking appointments, providing reception cover, managing the charity’s database ,assisting with fundraising activities and finance.
Key Responsibilities
Premises

  • Manage/oversee routine maintenance and service visits for all LM premises
  • Take responsibility for Health and Safety for the premises, including fire and first aid. Arrange training as agreed for these areas.
  • Keep premises clean and tidy for patient visits

Scheduling & Appointments

  • Manage scheduling for nurse appointments including holidays and rearranging for sickness/unplanned absences.
  • Provide cover for reception both on and off site
  • Log all attendees for appointments, generate donations and implement follow up system as agreed by management
  • Schedule and generate free text reminders for patients
  • Generate reports as required by management
  • Generate reminders for repeat visits

Update and maintain new database

· Identifying areas for improvement of function of the new database

· Develop meaningful reports to reduce administrative burden

· Become product specialist – i.e. person to go to with questions.

Supporting Fundraising & Finance

· Assist with the maximisation of all income streams of the Trust, both face to face and online

· help represent Lady McAdden at events for promotion and fundraising

· Manage and expand use of Pink pots, external collections and 500 club,

· Research and generate funding opportunities e.g. Bid identification, corporate funding as directed by management

· Assist with the updating of the website and social media

· Log payments and invoices on to the finance system (QuickBooks)

· Maintain records for Gift Aid

· assist with donation and income banking

Additional Responsibilities

  • Monitor and deal with incoming communications (telephone, email, post).
  • Assist with co-ordination and on boarding of new volunteers
  • Update and maintain filing system, data cleansing.
  • Provide other cover as required
  • Plus, any other duties the Trust may require

Key Skills

Must have strong Microsoft office particularly (Outlook, Excel and Word)

Basic knowledge of databases with the capacity to learn

Be able to use other programs or learn quickly like wordpress – website

Excellent attention to detail

Communication skills

Written ability

Confident on phone and face to face

Car – will be required to travel to different sites with nurses

Supervisory/scheduling experience

Ability to do other hours ie weekends, evenings and Fridays if needed as will be working with volunteers and arranging collections and may need to attend themselves

Volunteer Driver & Donations Collection

We are seeking a volunteer driver to collect and move donations from our sites in Leigh and Tilbury. The role will be a few hours a week and can be fitted in to suit you . You will need your own vehicle that is suitable for moving items in and your car insurance will need to include volunteer work – most insurers will do this for free.

As this role requires you to visit people in their homes and collect items, you will need to be physically fit as some lifting will be required. The role also requires a DBS check which we will pay for.

Volunteer Administration/Reception

With our nurses back at work, we need some help with our administation and reception. This may be based in our Unit in Westcliff or out in the Community (our nurses are now working from remote locations within community sites, like shops, beauty salons and community facilities).

You need good communication skills and be able to work emails and a computer (training will be given), most importantly be friendly and confident in dealing with people.

Hours are flexible but we ideally need someone who can help on a regular basis. We do occaisionally have some evenings or weekends and would welcome people who can help with either.
